Campus-Wide Rack Security for a Leading UK University

How one university secured 200 distributed racks with a single, centralised platform

One of the UK’s largest universities faced a growing operational challenge. Over several years, the university distributed its core IT infrastructure across an expansive campus. Consequently, server racks ended up in satellite buildings and remote rooms far beyond a traditional, climate-controlled data centre environment.

As a result, managing physical security at this scale using manual processes became unsustainable. Therefore, the university required a smarter, automated solution to secure its racks and maintain complete oversight across the entire campus.

The Challenge: Distributed Infrastructure, Limited Oversight

Unlike a single centralised facility, the university operated around 200 server racks across multiple academic buildings. Additionally, most of these cabinets relied on standard, keyed-alike locks. Because staff shared mechanical keys, IT managers could not control access effectively or verify who opened a cabinet.

Furthermore, manual key management introduced significant operational risks:

    • No reliable audit trail: The team had no digital log showing when personnel accessed a rack.
    • Delayed incident response: Security staff also received no real-time alerts during unauthorised access attempts.
    • Compliance pressures: The university needed to meet strict regulatory data protection standards across all campus facilities.

Consequently, to overcome these obstacles, the university needed a centralised management platform that could secure remote infrastructure without requiring a traditional data centre layout.

The Solution: A Central Platform for a Decentralised Campus

Subsequently, to address these challenges, Advanced Datacentre Systems (ADS) designed a bespoke security and monitoring architecture powered by the Sensorium™ DCIM platform.

    Smart Electronic Rack Acces

Firstly, ADS retrofitted each server cabinet with an iAccess Controller. Straightaway, this upgrade replaced mechanical locks with smart electronic handles and door position sensors that report status changes instantly. As a result, rack security transformed overnight from an unmonitored manual chore into a centrally managed, automated security framework.

    Custom Campus-Wide Dashboard

Because traditional data centre floorplans did not fit a multi-building environment, ADS tailored the Sensorium™ interface specifically for campus operations. Instead of a single room layout, Sensorium™ presents a dynamic campus dashboard organised logically by building, floor, and room.

Consequently, security teams gain a clear, top-down view of all rack access events, door states, and environmental metrics — such as temperature and humidity — in real time.

Meanwhile, automated alerts instantly flag any unauthorised entry attempt or environmental spike.

    Integrated Visual Verification and Accountability

Furthermore, to strengthen campus governance, ADS integrated CCTV directly into the rack infrastructure.

In order to achieve this, the technical team embedded compact ATM-style cameras into rack blanking panels and connected them straight into each iAccess Controller. Whenever an engineer unlocks a rack door, the system automatically triggers a live video feed at the central security desk while logging the event.

Consequently, this dual-verification approach combines precise digital audit logs with live visual proof, delivering total accountability for every cabinet on campus.

The Outcome: Complete Visibility, Compliance, and Future Readiness

Following the installation, the university now manages its entire distributed IT estate through a single, intuitive screen. Furthermore, security teams maintain complete visibility over rack activity across the entire campus, ensuring immediate awareness of every access event.

    Key Results at a Glance:

In short the university benefited from:

    • Automated Audit Trails: Firstly, the platform records all access events automatically, simplifying regulatory compliance and audit preparation.
    • Eliminated Key Risks: Moreover, digital credentials replaced physical keys, removing key tracking errors and security vulnerabilities.
    • Instant Incident Response: Additionally, automated alerts and integrated CCTV footage allow security personnel to verify and address potential breaches immediately.
    • Scalable Architecture: Finally, as the campus grows, Sensorium™ easily scales to accommodate new buildings and racks without adding administrative complexity.

By unifying rack access control, environmental monitoring, and video verification within Sensorium™, the university turned a complex physical security risk into a streamlined, future-ready management system.
